Polite Menu Privacy Policy

This Privacy Policy describes the privacy practices of 17468296 Canada, Inc., a corporation registered under the laws of Canada, doing business as Polite Menu (“we,” “us,” or “our”), and explains how we collect, use, store, and disclose information in connection with our websites, web application, APIs, Software, and the Device (collectively, the “Services”). We treat all personal information covered by this Privacy Policy as pertaining to individuals acting as business representatives, and not in their individual or household capacity.
By using our Services, you acknowledge that you have read and understood this Privacy Policy. This Privacy Policy is incorporated into and forms part of our Terms of Service. Capitalized terms not defined here have the meanings given in the Terms of Service.
1. About Polite Menu
Polite Menu is a digital signage service that displays your Media (images and videos) on Screens through a small hardware Device and its Software, managed through our web App at polite.menu.
Unlike a purely local product, Polite Menu stores your Media on our servers so that it can be delivered to your Device and displayed on your Screens. This Privacy Policy describes how we handle that Media, as well as the other information we collect to operate the Services.
2. Information We Collect
2.1 Account Information
When you create an Account at our Domains, we collect information you voluntarily provide, which may include your name, email address, business name, billing address, and other contact information. Your Account is how you log in to the App to manage your Media, Screens, and subscription.
2.2 Your Media
To provide the Services, we store the images and videos (“Media”) that you upload through the App so that they can be delivered to your Device and displayed on your Screens.
- Random file identifiers. Media files are stored under randomly generated identifiers, not under original file names or any name that describes the content, your business, or your Account. This separation means that an individual Media file, viewed in isolation in our storage, cannot be tied back to you without access to our Account metadata.
- Original file names. We may retain the original file name you provided as metadata in your Account, solely so that the App can display it to you. The stored Media itself is referenced by its random identifier.
- No human review. We do not routinely view, analyze, or otherwise access the contents of your Media. We may access Media only as strictly necessary to operate the Services, investigate abuse or a violation of our Terms of Service, or comply with legal process.
- No use for AI or ML. We do not use your Media to train artificial intelligence or machine learning models, and we do not sell, rent, or license your Media to any third party.
You retain all rights in and to your Media, as set forth in the Terms of Service.
2.3 Device and Software Information
The Device communicates with our APIs to authenticate, retrieve Media, report status, and receive Software updates. During these communications, we collect:
- A unique Device identifier that is associate with your Device and Account;
- The Software version running on the Device;
- Basic Device health and connectivity information, such as whether the Device is online, when it last checked in, and whether a Screen is connected;
- The Screen configuration reported by the Device (for example, one or two Screens and their resolutions); and
- The local IP address of the device and the public IP address from which the Device contacts our APIs.
We use this information to authenticate the Device, deliver your Media correctly, detect outages, and provide support.
2.4 Billing and Payment Information
We store billing information, such as billing periods, invoices, and amounts charged, in order to charge applicable Fees. Our records do not include your full payment card number or other sensitive payment details.
All payment information is processed by a third-party payment processor. Polite Menu does not collect, store, or have access to your credit card number or equivalent payment details. Please refer to our payment processor’s privacy policy, linked from our Domains, for information on how they handle your payment data.
2.5 Web and API Access Logs
When you interact with our Domains, App, or APIs, we collect:
- Web analytics, such as clicks, browser and device type, approximate location by country, and referrer; and
- System access logs, including IP address and the data contained in the HTTP request.
We use these logs to operate the Services, monitor performance, prevent abuse, and improve our Domains.
2.7 Support Communications
When you contact us for support, we collect the content of your communications, including any information you voluntarily share to help us diagnose and resolve your issue. We retain these communications as described in Section 5.
3. How We Use Your Information
We use the information we collect for the following purposes:

| Web and API Access Logs | Operate and secure our Domains, App, and APIs, prevent abuse, and analyze aggregate website usage to improve the Services. |
| Support Communications | Provide customer support, diagnose issues, and improve the Services based on the questions and feedback we receive. |
4. How We Share Your Information
We do not sell, rent, or trade your personal information or your Media to third parties for marketing purposes. We do not use your Media or personal information to train artificial intelligence or machine learning models.
We may share your information in the following limited circumstances:
- Service Providers. We share information with trusted third-party service providers that help us operate the Services, such as cloud hosting providers (for storage and delivery of Media), payment processors, authentication services, and email delivery providers. These providers are bound by contractual confidentiality and data protection obligations.
- Legal Compliance. We may disclose information if required by law, regulation, legal process, or valid governmental request, or where we believe disclosure is necessary to protect our rights, your safety, or the safety of others.
- Business Transfers. In connection with a merger, acquisition, reorganization, or sale of assets, your information may be transferred as part of that transaction. You will be notified in accordance with Section 10 if such a transfer materially changes how your information is handled.
5. Data Retention
We retain Account information, billing records, access logs, and audit logs for as long as necessary to provide the Services, comply with our legal obligations, resolve disputes, and enforce our agreements.
Media. We retain your Media for as long as it is stored in your Account. When you delete a Media file in the App, we delete it from active storage. Copies may persist in backup systems or transient caches for a limited period before being overwritten or expired in the ordinary course of operations.
Account closure. When you close your Account, we delete or anonymize your personal information and your Media within a reasonable period, except where we are required to retain certain records (such as billing and tax records) to comply with legal obligations.
6. Data Security
We implement reasonable administrative, technical, and physical safeguards to protect the information we collect, including:
- Enforcing HTTPS/TLS for all communications with our Domains, App, APIs, and Device;
- Storing Media under randomly generated identifiers, separated from Account-identifying metadata, as described in Section 2.2;
- Using specialized third parties for authentication and payment processing, so that we do not store passwords or payment card data; and
- Maintaining an audit log of changes to your Account.
However, no method of transmission over the Internet or electronic storage is completely secure, and we cannot guarantee absolute security. You are responsible for safeguarding your Account credentials and for the security of the network, hardware, and Screens at your location.
7. Your Rights and Choices
Depending on your jurisdiction, you may have rights regarding your personal information, including:
- The right to access, correct, or delete your personal information;
- The right to withdraw consent to optional data collection;
- The right to object to certain processing activities;
- The right to data portability; and
- The right to lodge a complaint with a supervisory authority.
You can manage and delete most of your information, including your Media, directly in the App. To exercise other rights, please contact us using the information in Section 11.
8. International Data Transfers
Your information may be transferred to and processed in Canada, the United States, or other countries where we or our service providers operate. These countries may have different data protection laws than your country of residence. By using our Services, you consent to such transfers.
9. Children’s Privacy
Our Services are not directed to children under the age of 18. We do not knowingly collect personal information from children under 18. If you believe we have collected information from a child under 18, please contact us and we will take appropriate steps to delete such information.
10. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify you by posting the updated policy at our Domains and updating the “Effective Date” above. We may also notify you by email or through the App. Your continued use of the Services after any changes constitutes your acceptance of the revised Privacy Policy.
